Job Specification

  • Administration Assistant / Operations Assistant
  • 40 hours per week.
  • Monday to Friday 0830 to 1630 with flexible working hours. 30 minutes paid lunch.

We are currently looking to recruit an Administration Assistant/Operations Assistant to work in our friendly office in Totton, Southampton. 

We are a small, growing team, so you may be required to carry out other duties when needed. Your flexibility and “can do” attitude are essential for this role.

Responsibilities

Administrative/Operations Assistant is required for our busy, expanding, refrigeration company and will be based at our office at Totton, the focus will be:

  • Carrying out general administrative tasks associated with the Service Department.
  • Keeping track of stock and placing orders to ensure stock levels.
  • Arranging and tracking deliveries direct to client sites.
  • Answering internal and external calls.
  • Assisting the sales/marketing team when required.
  • Creating quotes and purchase orders as required.
  • As part of a small team there is a general level of additional support. required for your colleagues.
  • On the job software training will be provided.

    Candidate Requirements

    • Good Maths and literacy skills.
    • IT literate.
    • Calm under pressure.
    • Excellent communicator across all colleague levels.
    • The role will be fast-paced and challenging therefore you must have an adaptable and flexible attitude and approach, be prepared to work alongside your team and be driven to achieve a high level of service
    • Customer/client service focused.
    • Good organisational skills and ability to manage own time effectively within a fast-paced environment.

    Experience

      • Relevant office-based administration experience.

      • An aptitude for administration management and processes, with experience of working within a busy Service Department.

      • Intermediate knowledge of Microsoft Office.

      • Working knowledge of a financial software package (Xero, Quickbooks etc).

      Salary

      £24,500 per year depending on experience. Initially.
